Appliance invoices get paid when the diagnostic fee, labour, and part number are visible. Customers have already Googled the pump. If your invoice says “repair $429” they will assume you marked the part up 300%.
This template starts with an $89 service call, 1.5 hours to replace a dishwasher pump, and the OEM pump as its own line. Terms waive the trip fee if they approve the repair — a common shop policy you can delete if you do not offer it.
Identify the appliance (brand, model, serial if you have it) and the failed part. “Whirlpool WDT730 dishwasher — drain pump” is enough for the customer and for your warranty log.
State the parts warranty (usually the manufacturer’s 90 days–1 year) and your labour warranty (30–90 days is typical) as separate sentences. Mix them and you will be expected to eat a failed OEM part six months later.
Dishwasher pump job. Swap the part name for the next call.
| Line item | Qty | Rate | Amount |
|---|---|---|---|
| Service call & diagnostic | 1 | $89 | $89 |
| Labour — dishwasher pump replacement | 1.5 hrs | $95 | $142.50 |
| OEM replacement pump | 1 | $245 | $245 |
| Sales tax (7%) | — | — | on parts |
Diagnostic is due even if they decline the repair. If they approve, many shops credit the trip fee against labour. Write whichever policy you actually follow.
Do not order a $200+ part without a card or a signed approval. Warranty company jobs need the claim or PO number on the invoice or you will wait 60 days.
Common, not required. If you waive it, show “diagnostic — credited” as a $0 or negative line so the paper trail is clean.
Name what you installed. Customers (and warranty companies) will ask.
Invoice the diagnostic and write “repair not recommended — unit beyond economic repair.” That sentence saves arguments later.
Yes, and you should for new customers. Put the policy on your booking page and on the invoice terms.
Charge the diagnostic. Note what you tested. That is still skilled time.
