Handyman work is a pile of small jobs. The invoice that gets paid same day is the one that shows a trip charge, hours, and a materials line — not “misc repairs $365.”
This template starts with a diagnostic visit, three hours of general repairs, and a materials allowance. Tick the hours up or down on site. 30-day workmanship language is already in the notes.
Write what you actually did: “replaced garbage disposal, patched drywall in hall, reset three door hinges.” A one-word “repairs” line is how customers forget half the work by the time they open their banking app.
Materials should be listed even if you only mark them up 15–20%. Keep receipts. Property managers will ask. If you use a minimum (2-hour minimum is common), put the minimum on the invoice so a 40-minute job does not look like a padded hour.
Typical single-visit residential job.
| Line item | Qty | Rate | Amount |
|---|---|---|---|
| Service call & diagnostic | 1 | $75 | $75 |
| Labour — general repairs | 3 hrs | $65 | $195 |
| Materials & supplies | 1 | $95 | $95 |
| Sales tax (7%) | — | — | on materials / as required |
Due on completion for homeowners. Property managers and Airbnb hosts: Net 7 or Net 15, with a written approval threshold (“any job over $250 needs a text before parts”).
If you also write estimates for bigger jobs (fence, deck, bathroom refresh), send those from the estimate generator first, then invoice the approved scope.
Yes if you drive. A $50–$90 service call plus hourly labour is easier to explain than a high blended rate.
Stop and get a yes on the extra work (text is enough). Add a second labour line for the extra hours instead of quietly doubling the first line.
State-specific. When in doubt, tax materials and leave labour untaxed unless your state taxes services.
Charge the diagnostic if you spent time on site, or waive it if they book the repair. Do not leave the visit undocumented.
Yes — one line per task. That is clearer than one paragraph.
